Privacy Policy

DTHA Hockey Academy respects the privacy of players, parents, guardians, coaches, club representatives and website visitors. This policy explains what information DTHA may receive, why it is used, how it is protected and the choices available to you.

1. Scope and accountability

This Privacy Policy applies to personal information handled by DTHA in connection with the website, enquiries, assessments, coaching, video review, evaluation, team-development work and related administration. It does not govern an independent club, league, facility, payment provider, email provider or linked website.

DTHA is responsible for the personal information under its control and aims to follow applicable Canadian private-sector privacy principles, including accountability, identified and reasonable purposes, meaningful consent, limited collection, appropriate use and disclosure, safeguards, openness, access and correction.

2. Information DTHA may receive

The information depends on the relationship and service. DTHA may receive the following categories when reasonably necessary:

  • Contact details, such as a parent, guardian, adult player, coach or club representative's name, email address and telephone number.
  • Player context, such as name, age or birth year, position, current team or level, development goals, scheduling needs and relevant playing history.
  • Service information, such as bookings, attendance, coaching notes, assessment observations, agreed priorities, communications and quote or invoice records.
  • Video, images or documents voluntarily provided for coaching or evaluation.
  • Safety or participation information that a family chooses or is asked to provide because it is relevant to responsible delivery.
  • Technical information processed by the website host, such as IP address, browser or device information, timestamps, requested pages and security logs.

3. Public assessment and team quote forms

The Contact / Request Assessment form and the Team Development quote form transmit the entered field values to DTHA at info@dtha.ca when you press the send button. The information is used to understand and respond to the enquiry or quote request. DTHA does not publish or sell the submitted information and may retain the received request with related business communications as reasonably needed.

Transmission and delivery are processed by the website host and DTHA's email delivery provider. Their systems, retention and privacy practices also apply. Do not include medical records, government identification, complete school records, payment-card details or other highly sensitive information in a website form or ordinary email unless DTHA specifically requests the information and provides an appropriate method.

4. Private team-development access

The private Team Development page uses an access password supplied by DTHA. The submitted password is checked on the server. When access is approved, the site places an essential, signed access cookie named dtha-team-access in the browser. The cookie does not contain the access password, is not used for advertising and expires after 12 hours.

The access cookie is HttpOnly, uses SameSite=Lax and is marked Secure in production. It is limited to the Team Development path. Blocking or deleting it may require the password to be entered again.

5. Purposes for collection and use

DTHA may use personal information only for identified, reasonable purposes connected with the relationship, including:

  • Responding to an enquiry and understanding the player's or team's situation.
  • Recommending, quoting, scheduling, administering and delivering an agreed service.
  • Communicating with the responsible adult, player, coach or club representative.
  • Reviewing footage, recording coaching priorities and monitoring agreed development work.
  • Supporting safety, appropriate supervision, conduct review and incident response.
  • Processing payment and maintaining reasonable accounting, insurance and business records.
  • Protecting the website, enforcing access restrictions and preventing misuse.
  • Meeting legal obligations and establishing, exercising or defending a legal claim.

6. Consent and choices

DTHA seeks consent that is appropriate to the sensitivity of the information and the reasonable expectations of the person. Consent may be express or implied where permitted, but separate express permission will be requested for an optional use such as publishing an identifiable player testimonial or image for promotion.

You may decline to provide optional information. If information is necessary to safely assess, arrange or deliver a requested service, DTHA may be unable to proceed without it. You may withdraw consent for a future optional use, subject to legal, contractual, safety and record-retention limits.

7. Children and youth

Youth information deserves heightened protection. A parent or legal guardian should make website enquiries, approve services and provide consent for a participant under 18. Young players should not independently send personal or sensitive information through the website.

DTHA aims to use plain language, collect the minimum information reasonably needed and involve the responsible adult in material communication. The ability of a young person to understand a privacy choice varies with age and maturity; where meaningful consent cannot be obtained directly, consent must come from an authorized parent or guardian.

8. Video, images and player information

Only send footage or images that you are entitled to share. Team and game video may identify other players, coaches, officials or spectators. The sender is responsible for any permission required to provide that material to DTHA.

DTHA uses submitted footage and player information for the agreed coaching, review or evaluation purpose and necessary administration. It is not posted publicly, used in advertising or shared as a testimonial without separate appropriate permission.

9. Disclosure and service providers

DTHA does not sell personal information. Information may be disclosed to service providers that support hosting, email, scheduling, payment, document storage, accounting, legal advice, insurance or other necessary operations. Providers should receive only what they need for the service and may have their own legally required processing and retention practices.

Information may also be disclosed with consent, when required or permitted by law, to address an emergency or credible safety concern, to investigate fraud or serious misconduct, or to establish, exercise or defend a legal claim. DTHA may refer a child-safety or criminal concern to an appropriate authority.

Some providers may process information in another province or country. In that case, the information may be subject to lawful access under the laws of that jurisdiction.

10. Cookies, logs and analytics

The site host may create technical and security logs needed to deliver, diagnose and protect the website. DTHA currently uses the essential Team Development access cookie described above and has not added advertising cookies, behavioural advertising pixels or a marketing analytics service to this version of the website.

If DTHA later introduces a materially different tracking or analytics practice, this policy and any required notice or choice will be updated before or when that practice begins.

11. Retention

DTHA keeps personal information only as long as reasonably necessary for the enquiry, service, safety, accounting, insurance, dispute or legal purpose for which it was collected. Different records require different periods. Information that is no longer reasonably required is deleted, destroyed or de-identified, subject to technical backup cycles and lawful retention needs.

12. Safeguards

DTHA uses reasonable administrative and technical measures appropriate to the sensitivity and format of the information. Measures may include limited access, password and access controls, reputable service providers, secure production cookies, staff expectations and careful handling of player video and records.

No email, website, device or storage system can be guaranteed completely secure. If you believe information has been sent to the wrong person, accessed improperly or otherwise compromised, contact DTHA promptly.

13. Accuracy, access and correction

You may ask whether DTHA holds personal information about you or your child, request access to it and ask that inaccurate or incomplete information be corrected. DTHA may need to verify identity and authority before responding. Access may be limited where required or permitted by law, including to protect another person's privacy or privileged information.

Send a clear request to info@dtha.ca. DTHA will respond within the period required by applicable law or explain if more information is needed.

14. Deletion, withdrawal and complaints

You may request deletion of information that is no longer required, or withdraw consent for a future optional use, subject to legal, contractual, safety and legitimate record-retention limits. Withdrawal does not invalidate processing that was lawful before withdrawal.

A privacy concern should first be sent to the DTHA Privacy Contact at info@dtha.ca or (942) 882-2701 so it can be reviewed. You may also contact the Office of the Privacy Commissioner of Canada or another competent regulator where applicable.

15. External links

The website links to research, hockey organizations and other third-party resources. DTHA does not control their collection, cookies, security or privacy policies. Review the privacy information of the destination before submitting personal information.

16. Updates

DTHA may update this policy when the website, services, providers or legal requirements change. The effective date identifies the current published version. A material change will be communicated in a manner appropriate to its significance.
